Booking Terms and Conditions

Welcome to Adventure Mountain Treks Pvt. Ltd.! Please read the following terms and conditions carefully before booking with us. These terms govern the relationship between you (the client) and Adventure Mountain Treks Pvt. Ltd. (the company). By booking a trek or tour with us, you agree to be bound by these terms and conditions.

 

1. Booking Process

1.1. To confirm your booking, you must provide a completed booking form and pay a non-refundable deposit of 30% of the total trip cost. The remaining balance must be paid no later than 30 days before the trip's start date.

1.2. Bookings made less than 30 days before the trip’s start date require full payment at the time of booking.

1.3. Payments can be made via bank transfer, credit card, or other payment methods as advised by the company. Any applicable transaction fees are the responsibility of the client.

 

2. Cancellations and Refunds

2.1. By the Client:

Cancellations must be made in writing and will be effective on the date received by the company.

Cancellation charges are as follows:

More than 30 days before the trip: 30% of the trip cost (deposit forfeited).

15-30 days before the trip: 50% of the trip cost.

Less than 15 days before the trip: 100% of the trip cost.

2.2. By the Company:

The company reserves the right to cancel any trip due to unforeseen circumstances such as natural disasters, political instability, or other events beyond our control. In such cases, clients will be offered an alternative trip or a full refund of payments made. The company is not liable for additional expenses incurred by the client (e.g., visa fees, flight tickets).

 

3. Travel Insurance

3.1. All clients must have comprehensive travel insurance that covers trip cancellations, medical expenses, emergency evacuations (including helicopter rescue), and loss or theft of personal belongings.

3.2. Proof of insurance must be provided to the company before the trip's commencement.

 

4. Health and Fitness Requirements

4.1. Clients must ensure they are in good physical and mental health suitable for trekking at high altitudes. A medical check-up and advice from a physician are recommended before booking.

4.2. The company reserves the right to disqualify any participant from continuing the trip if their physical condition compromises their safety or the safety of others.

 

5. Itinerary Changes

5.1. The company reserves the right to modify the itinerary due to unforeseen circumstances such as weather conditions, natural disasters, or government restrictions. These changes are made in the best interest of the clients' safety.

5.2. Any additional costs resulting from such changes (e.g., extra accommodation or transportation) will be the client’s responsibility.

 

6. Travel Documents and Permits

6.1. Clients are responsible for ensuring they have valid passports (with at least six months of validity), visas, and any required trekking permits (e.g., TIMS, National Park Entry).

6.2. The company can assist with obtaining permits, but clients must provide accurate and timely information.

 

7. Liability

7.1. Adventure Mountain Treks Pvt. Ltd. acts as a booking agent for hotels, transportation, and other services. While we ensure service quality, we are not liable for any loss, damage, or injury resulting from third-party actions.

7.2. The company is not responsible for delays, cancellations, or additional costs caused by unforeseen events such as weather, strikes, or political disturbances.

 

8. Code of Conduct

8.1. Clients are expected to follow local customs, respect the environment, and comply with the instructions of the guide or trip leader.

8.2. The company reserves the right to remove any participant from the trip for unacceptable behavior without a refund.

 

9. Risk Acknowledgment

9.1. Clients acknowledge that trekking and mountaineering involve inherent risks, including physical injury, illness, and loss of property. By booking with us, clients assume all risks associated with the trip.

 

10. Force Majeure

10.1. The company will not be held liable for failure to perform any obligation due to events beyond its control, including but not limited to natural disasters, strikes, wars, or pandemics.

 

11. Complaints

11.1. Any complaints during the trip should be communicated to the guide or trip leader immediately. If unresolved, clients can submit a formal complaint in writing within 15 days of the trip's conclusion.

 

12. Governing Law

12.1. These terms and conditions are governed by the laws of Nepal. Any disputes shall be settled in the courts of Nepal.
